Scripting may be the way to then in this case, just to eliminate the possibility of human error. I'll make a suggestion to WHD to add a criteria for "Time" (being set on a 12/24 hour clock or days of the week)

Thanks Chris I will try giving SW tech support a call then. You saying they should be able to go into my system and change it so that save and edit button triggers action rules?

When the problem arose again I just did the same thing I did last time for a temporary fix - unlinked and re-linked the tech account with the client - and for some reason it liked it that time. Haven't had the problem since.

I have checked the clients there is no duplicate of this account past or present. For what it's worth it has not happened again after the first 2 times I fixed it....

Update: Seems to be a bug when trying to edit more than just a handful (~5+) clients at a time. If I run the action on a larger number of clients, then open the individual client, click the edit button, then save it without making changes, the custom field suddenly shows active.

Think I've discovered some new developments with this as I have been having this issue come back up recently to a number of different techs. It seems like this happens whenever a client account is updated. I have had a few techs change their email address in their client profile and there client account became unlinked…
