How do I get a ticket into Help Desk from outside domain email address

We have an online database which we use that sends emails to us, I think it uses an alias of one of the members of staff here, so it looks as though it is coming in from a person from with in the domains that are accepted. I have tried to set the original email address (not the alias) up as a client to see if this si the reason for it not coming through. Would I need to give the domain access in the options for emails even though it is using an alias. I only want to close it down to this one email account to have access to send in requests. What settings would I need to have it on
